What information we collect

When you book or enquire through our website, by phone or by email, we collect:

• your name, phone number and email address
• the address and details of the property, such as the number of bedrooms
• your tenant's name and phone number, if you give them to us so the engineer can arrange access
• details of the certificates you need, your certificates once issued, and their expiry dates
• payment records (we do not see or store your full card details, which are handled by our payment provider)

How we use it

• to arrange and carry out the certificates you ask for
• to send you your certificates and any repair quotes
• to remind you before a certificate is due for renewal
• to take payment and keep accounting records
• to reply to your questions

We do not sell your information, and we do not send marketing emails unless you have asked us to.

Our legal basis

We use your information to perform our contract with you, or to take steps you have asked for before entering into one. We send renewal reminders because it is in our and your legitimate interests to keep your property compliant; you can ask us to stop at any time. We keep accounting records because the law requires it.

Who we share it with

We only share what is needed to do the job:

• the engineer or assessor carrying out the check receives the property address and access details, including tenant contact details where provided
• EPCs are lodged on the government's EPC register, as required by law
• our website form provider, email provider, payment provider and accountant process information on our behalf

Some of these providers may store data outside the UK. Where they do, appropriate safeguards are in place as required by UK data protection law.

Tenant information

If you give us your tenant's details, please let your tenant know that we will share them with the engineer so they can arrange a visit. We only use tenant details to arrange access for that job.

How long we keep it

• enquiries that do not lead to a booking: deleted after 12 months
• booking, certificate and payment records: kept for 6 years after the job, as required for accounting and tax
• tenant contact details: deleted once the visit is complete

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to ask us to stop sending reminders. Email tregroupltd@gmail.com and we will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
